What are XBRL Conversion and Filing Services?
XBRL conversion and filing services convert a company's financial statements into XBRL, a structured digital format, and file them with the Registrar of Companies. Each figure is tagged to a standard taxonomy and checked by validation tools. Companies covered by the Companies (Filing of Documents and Forms in XBRL) Rules must file their accounts this way.
Who files
Which companies need XBRL filing?
The rules are notified by the Ministry of Corporate Affairs and can change. These are the broad groups. We confirm your status first.
Listed companies
Companies listed on Indian stock exchanges.
Their Indian subsidiaries
Subsidiaries of covered companies, including unlisted ones.
Larger unlisted companies
Companies above the paid-up capital or turnover limits that MCA notifies.
Consolidated accounts
Companies that also prepare consolidated financial statements.
Filing process
XBRL filing process, from signed accounts to ROC
Four stages, each with a clear check. We start once your accounts are approved.
- 1
Data collection and formatting
Day 1We receive the signed accounts and arrange the data for conversion.
- 2
XBRL tagging and validation
Day 1 to 3Each item is mapped to the right taxonomy element and validated.
- 3
Quality check and error correction
Day 3 to 4We compare tagged data with the signed accounts and fix every mismatch.
- 4
Filing and submission

A few working days are usually enough for tagging and validation, depending on how complex the data is.

Why it matters
XBRL filing compared with plain document filing
XBRL adds structure that a PDF cannot give.
| Point | Plain document | XBRL |
|---|---|---|
| Data format | Image or text, read by people | Tagged data, read by computers |
| Checking | Manual review | Automated validation checks |
| Comparison across companies | Slow and manual | Easy, same taxonomy |
| Error risk | Typing and copy errors | Lower, if tagged and validated well |
| Use by regulators and analysts | Limited | Direct data analysis |
Which format your company must use depends on the XBRL rules that apply to it.
Complete guide
Everything you need to know about XBRL Conversion and Filing Services
What are XBRL Conversion and Filing Services?
XBRL conversion and filing services turn a company’s financial statements into XBRL format and file them with the Registrar of Companies. XBRL stands for eXtensible Business Reporting Language. It is a global standard that tags each number in a financial statement, such as revenue or total assets, with a code from an agreed list called a taxonomy. A computer can then read, check and compare the data without anyone retyping it. In India, the Ministry of Corporate Affairs uses it for the financial statements of companies that fall under the XBRL rules.
Who must file financial statements in XBRL?
The requirement comes from the Companies (Filing of Documents and Forms in XBRL) Rules, 2015. Broadly, these rules cover listed companies and their Indian subsidiaries, and unlisted companies above limits of paid-up capital or turnover that the Ministry notifies. Some classes, such as certain banks, insurers and power companies, follow their own formats. The limits and exemptions can change, so we check the latest notification for your company before we start. Smaller companies that are outside these rules usually file their accounts in the normal way.
If you are not sure, share your paid-up capital, turnover and listing status. We will tell you whether XBRL applies. You can also read our guide on annual MCA compliance to see where this filing fits in the yearly cycle.
XBRL filing process step by step
The work follows a clear order. Your auditors finalise the accounts first. We take over once the financial statements are approved.
- Data collection: we take the audited balance sheet, statement of profit and loss, cash flow statement and notes.
- Formatting: the data is arranged so that each item can be mapped to a taxonomy element.
- XBRL tagging: every line and note is tagged using the taxonomy that applies to your company, such as the Ind AS or non-Ind AS version.
- Validation: the instance document is run through validation checks to find mismatches and missing elements.
- Quality review: we compare the tagged data with the signed accounts, line by line.
- Filing: the validated file is attached to the relevant MCA form, usually the financial statement form AOC-4 in its XBRL version, and filed on the MCA portal.
Documents required for XBRL conversion
For the conversion itself, we need the signed financial statements. These include the balance sheet, the statement of profit and loss, the cash flow statement where it applies, the statement of changes in equity for Ind AS companies, the notes to accounts and the auditor’s report. For the filing, we also need the director’s report and, where applicable, the corporate governance report and details needed for the form. Consolidated financial statements are converted separately if your company prepares them. Please send the final signed versions so that numbers do not change after tagging.
XBRL filing due dates and timing
Financial statements are filed with the Registrar after the annual general meeting. The Companies Act, 2013 sets the period for this filing, and in general it runs from the date of the AGM. Because XBRL tagging takes time, you should not wait for the last week. Ask your auditor for the final accounts early and give us a few working days for tagging and validation. Late filing carries additional fees and possible penalties under the Act. Please check the current fee rates and dates on the MCA portal before relying on any figure.
Why accuracy matters in XBRL filing
A wrong tag does not just look untidy. It changes what the data says. If an expense is tagged as an asset, regulators and analysts who read the data will see a false picture. Errors can also cause the form to fail validation, which delays the filing. Good tagging needs three skills: accounting knowledge, taxonomy knowledge and attention to detail. Our approach is to tag, validate, review against the signed accounts and then file. We also keep a record of the mapping for next year, so repeat filings are faster and more consistent.
Cost of XBRL Conversion and Filing Services
The cost depends on the size of the accounts, the number of notes, whether consolidated statements are included and which taxonomy applies. MCA filing fees are separate and depend on the company’s share capital and the form. We do not quote a flat price on this page. Call us with a short description of your company and we will share a clear quote in advance. The live page also states that packages are customised and there are no hidden costs.
Related compliance that goes with XBRL
XBRL is one part of a wider compliance picture. Larger companies often also need an internal financial control review, which you can read about on our IFC audit page. Clean books make tagging much easier, so many clients pair this service with bookkeeping and accounting. - Using the wrong taxonomy version for the financial year.
- Leaving mandatory elements blank or using an extension element when a standard one exists.

Frequently asked questions on XBRL conversion and filing
Short answers to the questions founders ask most.
What is XBRL filing?
XBRL filing means submitting a company's financial statements to the regulator in XBRL format. XBRL is a global standard that tags each figure with a standard code, so computers can read and check the data. In India, covered companies attach the XBRL file to the MCA financial statement form.
What does XBRL stand for?
XBRL stands for eXtensible Business Reporting Language. It is an open standard for sharing business and financial data. Every number in a statement gets a tag from an agreed list called a taxonomy. This makes the data consistent, easy to validate and easy to compare across companies.
Who needs to file XBRL reports?
Companies covered by the Companies (Filing of Documents and Forms in XBRL) Rules, 2015 must file. These broadly include listed companies, their Indian subsidiaries and unlisted companies above limits set by the Ministry. The limits and exemptions can change, so we check the latest notification for your company.
Is XBRL filing mandatory for private limited companies?
Only for some. A private company needs to file in XBRL if it falls within the notified criteria, such as limits on paid-up capital or turnover, or if it is a subsidiary of a covered company. Many small private companies do not need it. Share your figures and we will confirm.
What documents are required for XBRL conversion?
You need the signed balance sheet, statement of profit and loss, cash flow statement where applicable, notes to accounts and the auditor's report. For the MCA filing we also need the director's report and any other details the form asks for. Please send final signed versions only.
How long does XBRL conversion take?
Conversion usually takes a few working days. The exact time depends on the size of the accounts, the number of notes, and whether consolidated statements are included. It also depends on how soon you send final signed documents. Early planning helps you meet the filing timeline without stress.
What are the benefits of XBRL filing?
XBRL gives accuracy, standard reporting, automated validation and better transparency. It reduces manual errors and makes financial data easy to analyse. For the company, the main benefit is meeting MCA requirements on time. A clean, validated file also lowers the chance of rejection.
Which taxonomy is used for XBRL tagging?
The taxonomy is published by the Ministry of Corporate Affairs. Companies that follow Ind AS use the Ind AS taxonomy, and others use the non-Ind AS version. The versions are updated from time to time, so we tag against the one that applies to your financial year and company.
When should the XBRL filing be done?
Financial statements are filed with the Registrar after the annual general meeting, within the period set by the Companies Act, 2013. Late filing may attract additional fees. Start the XBRL work as soon as the accounts are signed, and check the current dates on the MCA portal.
How much does XBRL conversion and filing cost?
The cost depends on the size of the accounts, the number of notes, whether consolidated statements are included and the taxonomy. MCA filing fees are separate. We offer customised packages and share a clear quote before starting. Call us with a short description of your company.
Do you review the XBRL file against the signed accounts?
Yes. After tagging and validation, we compare the XBRL data with the signed financial statements, line by line. We correct any mismatch before filing. This quality check is a key part of our process, because validation tools alone cannot catch every wrong tag.
Can BizSetups file the form on the MCA portal for us?
Yes. We prepare the XBRL file, attach it to the right MCA form and file it, using the digital signatures of your directors and professionals. You receive the acknowledgement. The work is 100% online. Call +91 92788 13303 or message us on WhatsApp to start.
